Flow Motion Youth Athletics — Terms & Conditions
These Terms & Conditions govern participation in Flow Motion Youth Athletics programs, a program of Flow Motion Running, LLC (“Flow Motion,” “we,” “us,” or “our”). By enrolling your child, you agree to the terms below in addition to the Activities Participation, Liability Release and Media Release Agreement.
- Enrollment
Enrollment is confirmed upon receipt of payment and a completed Activities Participation, Liability Release and Media Release Agreement. A child may not begin participation until both are on file.
At enrollment, parents/guardians must disclose any medical conditions, allergies, or physical limitations that may affect their child’s participation. Unless pickup is handled directly by the school or host site as part of its own after-school program procedures, parents/guardians must also designate any person other than the parent/guardian authorized to pick up the child.
- Payment, Refunds, Make-Ups & Cancellations
Payment Policy
Payment is due upon enrollment, prorated if necessary.
For year-round or subscription programs, your initial payment is due upon enrollment, prorated if necessary, and future monthly payments are drafted on the first of each month.
Refund Policy
We know that at these younger ages, a child may need to try a session before you know whether the program is a good fit. If after two sessions your child seems too young to benefit from the program, let us know and we will issue a season refund.
Refunds will not be issued for failure to attend a scheduled session (illness, vacation, etc.), and no refund will be issued for failure to attend a make-up session.
Should Flow Motion Youth Athletics find it necessary to remove a child from a session, a refund will be issued after deduction for sessions already attended.
Refunds will not be issued for a school, site, or field closure due to natural disaster, government emergency, health crisis, or other force majeure event.
All refund requests must be made in writing and emailed to info@flowmotionrunning.com.
Year-Round / Subscription Programs
Monthly charges are processed on the first of each month. To withdraw and stop monthly payments, you must notify us by email before the first of the following month, or you will be charged for that month. No refunds will be given for failure to cancel a year-round or subscription enrollment before the payment is processed.
Make-Up Classes & Cancellations
For school-based classes, we will use indoor space during inclement weather whenever possible. If no indoor space is available, we will make up a maximum of two sessions missed due to inclement weather (extreme cold, heat, or rain) by extending the season or finding another day that works for the school and our coach.
For public classes, cancellations are made up by adding fifteen minutes to the next two sessions, or, at some locations, by extending the season if the location allows it. A maximum of two sessions will be made up per season.
For year-round programs, four make-up sessions are built into the year. If more than four sessions are missed, we will find a day/time to make it up or issue a credit.
Flow Motion Youth Athletics reserves the right to cancel any program due to insufficient enrollment. A full refund will be issued upon such cancellation.
- Arrival & Dismissal
Parents/guardians must sign their child out from after-school programs at their Elementary School or Preschool where required by the host site, and are expected to arrive a few minutes before a session ends. Children will only be released to a parent/guardian or a person designated as an authorized pickup at enrollment, unless the school or host site is directly responsible for pickup as part of its own procedures.
- Health & Safety
- Please keep your child home if they have a fever, contagious illness, or injury that would prevent safe participation.
- Coaches do not administer medication. If your child requires access to medication (e.g., an inhaler or EpiPen) during a session, please discuss arrangements with your coach in advance.
- Coaches will use reasonable judgment to modify or pause activity in unsafe conditions (heat, cold, lightning, poor air quality, etc.), consistent with the make-up/cancellation policy above.
- Any injury occurring during a session will be reported to the parent/guardian as soon as reasonably possible.
- What to Bring
Participants should wear athletic shoes and weather-appropriate clothing suitable for running, jumping, throwing, and agility-based movement, and should bring a labeled water bottle. Please avoid loose jewelry or accessories that could pose a hazard during activity.
- Code of Conduct
Participants are expected to follow coach instructions, treat other participants and staff with respect, and follow the safety guidelines communicated during sessions. Parents, guardians, and spectators are expected to behave respectfully toward coaches, staff, other families, and participants.
Flow Motion Youth Athletics reserves the right to remove a participant from a program for unsafe or disruptive conduct. Refunds in that circumstance are governed by the Refund Policy above.
- Communication
Flow Motion Youth Athletics will communicate schedule changes, weather cancellations, and program updates to the email address or phone number provided at enrollment. It is the parent/guardian’s responsibility to keep contact information current.
- Photography & Media
Use of photos, video, and other media of participants is governed by the Media Release section of the Activities Participation, Liability Release and Media Release Agreement.
- Changes to These Terms
Flow Motion Youth Athletics may update these Terms & Conditions from time to time. Continued enrollment following notice of an update constitutes acceptance of the revised terms.
